Job Description

We are seeking a highly organized and detail-oriented Online Document Controller to manage, track, and maintain all project-related documentation through our digital platforms. This critical role ensures the integrity, accuracy, and accessibility of our online document management system, supporting various departments in their operational needs. The ideal candidate will be proficient in digital document control software, possess excellent communication skills, and be dedicated to maintaining meticulous records.

Key Responsibilities

  • Manage the secure and efficient flow of all digital documents, ensuring proper version control and access permissions.
  • Categorize, index, and archive documents in the online document management system (EDMS).
  • Monitor document submission from various departments, checking for completeness and compliance with established standards.
  • Distribute documents to relevant personnel and external stakeholders, tracking acknowledgements and revisions.
  • Conduct regular audits of the document control system to ensure data integrity and system efficiency.
  • Provide training and support to staff on document control procedures and system usage.
  • Collaborate with IT and project teams to optimize the digital document management system.
  • Prepare reports on document status, distribution, and archival activities.

Required Skills

  • Proficiency in digital document management systems (e.g., SharePoint, DocuWare, Aconex).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Familiarity with document control principles and best practices.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Information Management, or a related field.
  • Experience in a healthcare or regulated industry environment.
  • Knowledge of industry-specific compliance requirements related to documentation.
  • Certification in Document Control or Information Management.
