Job Description
This role is critical for the meticulous organization and digitization of invaluable paleontological specimens and their associated records. The Paleontology Archive Clerk ensures that our historical data is accurately cataloged, accessible, and meticulously preserved for ongoing and future scientific research. This position demands exceptional attention to detail, a methodical approach, and an unwavering commitment to maintaining the integrity and security of scientific data within our extensive archives. The successful candidate will be responsible for precise data entry, physical collection management, and contributing to the digital accessibility of our historical natural history collections.
Key Responsibilities
- Perform high-accuracy data entry for paleontological specimens, associated field notes, and other related documentation into digital databases.
- Assist with the physical organization, labeling, and rehousing of fossil collections and various archival materials, adhering to established curatorial and archival standards.
- Conduct rigorous quality control checks on both newly entered and existing data to ensure completeness, accuracy, and consistency, proactively identifying and correcting discrepancies.
- Scan and digitize historical maps, photographs, geological cross-sections, and other critical documents pertaining to paleontological discoveries.
- Maintain strict adherence to all archival standards, data management policies, and institutional security protocols to safeguard sensitive information and irreplaceable specimens.
- Collaborate effectively with researchers, curators, and other archive staff to facilitate the retrieval, documentation, and proper handling of materials as needed for research requests.
- Safeguard the integrity and security of all archival materials, encompassing both physical specimens and digital records, from environmental damage and unauthorized access.
Required Skills
- Proven experience with high-volume, high-accuracy data entry tasks, demonstrating speed and precision.
- Exceptional organizational skills, a meticulous approach, and an acute attention to detail.
- Proficiency with various database management systems and advanced proficiency in Microsoft Office Suite (especially Excel and Word) for data handling and reporting.
- Demonstrated ability to work both independently with minimal supervision and collaboratively as an integral part of a team in a dynamic, research-oriented environment.
- Strong written and verbal communication skills, with the ability to articulate complex information clearly and concisely.
- A basic understanding of scientific terminology, particularly within the fields of geology, paleontology, or biology, is highly advantageous.
Preferred Qualifications
- An Associate's or Bachelor's degree in Library Science, Archival Studies, Geology, Paleontology, Biology, or a closely related scientific or information management field.
- Prior professional experience working in an archive, museum, special collections library, or academic research setting.
- Familiarity with specialized collection management software (e.g., Specify, EMu, or similar systems).
- Practical experience with digital imaging, scanning equipment, and image processing software.
- A genuine passion for natural history, scientific discovery, and the preservation of historical scientific data.
