Job Description
We are seeking an organized and detail-oriented Music Lesson Coordinator with an administrative focus to join the team at Vanderbilt University’s Blair School of Music. This pivotal role ensures the smooth operation of our private and group lesson programs by managing schedules, coordinating instructors and students, and handling essential administrative tasks. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a passion for supporting music education.
Key Responsibilities
- Manage and maintain student and instructor lesson schedules, ensuring optimal utilization of studio spaces and resources.
- Act as the primary point of contact for students, parents, and instructors regarding scheduling, attendance, and general inquiries.
- Process lesson registrations, payments, and cancellations in accordance with school policies.
- Assist with instructor onboarding, including background checks and contract administration.
- Maintain accurate records of student progress, instructor hours, and program enrollment data.
- Support the marketing and promotion of lesson programs through various communication channels.
- Coordinate special events, recitals, and masterclasses related to lesson programs.
- Prepare reports and data analyses on program performance and enrollment trends.
- Collaborate with other administrative staff to ensure cohesive operations across the Blair School of Music.
- Ensure compliance with university policies and procedures.
Required Skills
- Minimum of 2 years of administrative experience, preferably in an educational or music-related setting.
- Exceptional organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management systems.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent interpersonal skills and a customer service-oriented approach.
- Problem-solving aptitude and ability to work independently as well as part of a team.
Preferred Qualifications
- Bachelor's degree in Music, Arts Administration, or a related field.
- Experience with scheduling software or student information systems.
- Familiarity with music terminology and a general understanding of music education.
