Job Description

Are you passionate about making a difference in your community? United Way of Metro Chicago is seeking a dedicated and organized Non-Profit Admin Assistant to join our dynamic team. This rewarding full-time position provides essential administrative support across various departments, playing a crucial role in the smooth operation of our initiatives and directly contributing to our mission. Key Responsibilities

  • Manage general office operations, including ordering supplies, maintaining equipment, and organizing common areas.
  • Provide administrative support to multiple departments and senior staff, including scheduling meetings, preparing reports, and managing correspondence.
  • Organize and maintain physical and electronic filing systems to ensure efficient retrieval of documents.
  • Assist with data entry, database management, and tracking key program metrics.
  • Coordinate logistics for internal and external meetings, events, and workshops.
  • Serve as the primary point of contact for office visitors and general inquiries, providing a welcoming and professional environment.
  • Process invoices, expense reports, and other financial documentation in coordination with the finance department.
  • Assist with the preparation of presentation materials, newsletters, and other communication pieces.

Required Skills

  • Proven organizational skills with a strong attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple tasks simultaneously and prioritize effectively
  • Strong interpersonal skills and a collaborative team player
  • High level of professionalism and discretion

Preferred Qualifications

  • Previous administrative experience in a non-profit environment
  • Familiarity with CRM software (e.g., Salesforce) or donor management systems
  • Associate's or Bachelor's degree
  • Experience with basic financial processing
