Job Description
Intermountain Health is seeking a dedicated and highly organized Personal Assistant to provide comprehensive administrative and personal support to an executive within our St. George office. This full-time position requires availability for afternoon and evening shifts, ensuring seamless support beyond standard business hours. The ideal candidate will possess exceptional organizational skills, a proactive attitude, and a strong sense of discretion and professionalism. You will manage complex schedules, facilitate communications, handle confidential information, and support various professional and personal tasks, contributing significantly to the executive’s productivity and work-life balance. This is an on-site role essential for direct support and coordination.
Key Responsibilities
- Manage and maintain the executive's dynamic professional and personal calendars, scheduling appointments, meetings, and travel arrangements primarily for afternoon and evening commitments.
- Act as a primary point of contact, screening calls, managing correspondence, and handling inquiries with utmost professionalism and discretion.
- Prepare and edit documents, presentations, and reports, ensuring accuracy and adherence to deadlines.
- Coordinate and organize events, meetings, and conferences, including venue booking, catering, and logistics.
- Process expense reports, manage invoices, and assist with budget tracking for personal and professional accounts.
- Handle confidential information with integrity, ensuring privacy and compliance with company policies.
- Conduct research, compile data, and prepare summaries as needed for various projects.
- Run errands and assist with personal tasks as requested, demonstrating flexibility and resourcefulness.
- Provide general administrative support, including filing, data entry, and office organization.
Required Skills
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Exceptional organizational and time management skills.
- High level of discretion and ability to handle confidential information.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to work independently and proactively anticipate needs.
- Strong problem-solving abilities and attention to detail.
- Flexibility to work afternoon and evening shifts.
Preferred Qualifications
- Bachelor's degree in Business Administration or a related field.
- Experience supporting senior-level executives in a fast-paced environment.
- Familiarity with project management tools or CRM software.
