Job Description

We are seeking a diligent and proactive Receptionist with a strong focus on secure workplace practices to join our Indianapolis team. This role is pivotal in creating an exceptional first impression for all visitors while meticulously upholding our robust security protocols. The ideal candidate will be the welcoming face of Salesforce, managing front desk operations, visitor registration, and contributing to the overall safety and efficiency of our office environment. This position requires an individual who is not only excellent at customer service but also highly observant, detail-oriented, and capable of handling sensitive information and situations with discretion.

Key Responsibilities

  • Warmly greet and assist all visitors, clients, and employees, ensuring a positive and professional experience.
  • Manage visitor registration processes, including ID verification, badge issuance, and maintaining accurate visitor logs in compliance with security policies.
  • Answer and direct incoming calls with professionalism and efficiency, escalating urgent inquiries as needed.
  • Monitor access control systems and CCTV as required, reporting any suspicious activities or security breaches to the appropriate personnel.
  • Handle incoming and outgoing mail and packages, ensuring secure delivery and distribution.
  • Maintain the cleanliness and organization of the reception area and common spaces.
  • Assist with scheduling meeting rooms and managing conference room bookings.
  • Provide administrative support to various departments as bandwidth allows, including data entry and document preparation.
  • Serve as the primary point of contact for emergency situations at the front desk, following established emergency response procedures.
  • Educate visitors and new hires on building security policies and procedures.
  • Collaborate with the security team to enhance and refine workplace security measures.

Required Skills

  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High level of professionalism and customer service orientation.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
  • Keen attention to detail and strong observational skills.
  • Ability to operate calmly and effectively in a fast-paced or emergency situation.
  • Understanding of basic security principles and access control systems.

Preferred Qualifications

  • Experience with visitor management software (e.g., Envoy, Sine).
  • Previous experience in a corporate reception or front desk role with a security component.
  • Knowledge of building safety and emergency procedures.
  • First Aid/CPR certification.
  • Familiarity with Salesforce products or services.
