Job Description

Sephora, a global leader in prestige beauty retail, is seeking a dedicated Dispatch Assistant to join our dynamic team in Halifax, Nova Scotia. In this essential on-site role, you will play a crucial part in our logistics operations, ensuring the fast and accurate delivery of our wide range of beauty products to our valued customers and stores. As a Dispatch Assistant, you will be at the heart of our delivery process, coordinating schedules, preparing vital documentation, and communicating effectively with drivers and warehouse staff. Key Responsibilities
- Coordinate daily dispatch schedules for beauty product deliveries, optimizing routes and timelines.
- Prepare and organize all necessary delivery documentation, including invoices, manifests, and shipping labels.
- Liaise effectively with delivery drivers and warehouse personnel to ensure seamless loading, unloading, and dispatch operations.
- Track and monitor shipments in real-time, providing accurate updates to internal teams and resolving any dispatch-related issues promptly.
- Maintain comprehensive and accurate records of all dispatched items, delivery statuses, and associated paperwork.
- Assist with routine inventory checks and stock management tasks that directly impact dispatch efficiency.
- Handle customer inquiries regarding delivery status, potential delays, or delivery issues with professionalism and a problem-solving approach.
- Ensure strict compliance with all company safety protocols and operational procedures within the dispatch area.
Required Skills
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively in a busy environment.
- Strong communication abilities, both written and verbal, for clear interaction with team members, drivers, and customers.
- Proficiency in basic computer applications, including Microsoft Office Suite (Word, Excel, Outlook).
- Demonstrated ability to work efficiently and accurately in a fast-paced and demanding operational setting.
- Exceptional attention to detail and a commitment to accuracy in all tasks.
- Physical ability to lift and move packages weighing up to 25 lbs (approximately 11 kg) as required.
Preferred Qualifications
- Previous experience (minimum 1 year) in a dispatch, logistics, warehouse, or retail operations role.
- Familiarity with beauty products or the retail beauty industry.
- Knowledge of local delivery routes and geographical areas within Halifax and surrounding regions.
- Experience utilizing dispatch software or inventory management systems is a plus.
