Job Description
We are seeking a proactive and detail-oriented Virtual Project Aide with a focus on construction and IT to join our dynamic remote team. This role is essential for supporting our project managers and teams in the execution of complex construction and infrastructure projects, leveraging various IT tools for seamless collaboration and efficient project delivery. The successful candidate will play a critical role in managing documentation, coordinating schedules, and ensuring the smooth flow of information within our virtual project environments. This is a 100% remote position, offering flexibility and the opportunity to contribute to large-scale projects from anywhere in Canada.
Key Responsibilities
- Assist project managers in planning, executing, and closing projects remotely.
- Manage project documentation, including reports, presentations, and correspondence, ensuring accuracy and accessibility through cloud-based platforms.
- Utilize project management software (e.g., MS Project, Jira, Asana) to track progress, update schedules, and monitor tasks.
- Facilitate virtual meetings, prepare agendas, record minutes, and follow up on action items.
- Coordinate with various stakeholders, including internal teams, clients, and vendors, across different time zones.
- Support the implementation and maintenance of IT tools and platforms used for remote project collaboration.
- Conduct research and compile data related to construction industry trends, best practices, and technological advancements.
- Perform general administrative duties to support the remote project team.
Required Skills
- Proficiency in Google Workspace (Docs, Sheets, Slides, Meet) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent organizational and time management skills with the ability to prioritize tasks effectively in a remote setting.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a virtual team.
- Basic understanding of IT systems and comfort with learning new software applications.
- Proven ability to manage multiple tasks simultaneously with keen attention to detail.
Preferred Qualifications
- Prior experience (1+ years) in a project support or administrative role, preferably within the construction, engineering, or IT sectors.
- Familiarity with project management methodologies (e.g., Agile, Waterfall) and software (e.g., Primavera P6, Procore).
- Post-secondary education in Business Administration, Project Management, IT, or a related field.
- Bilingualism (English and French) is a strong asset.
- Experience with virtual collaboration tools beyond basic video conferencing.
