Job Description

We are seeking a dedicated and organized Administrative Receptionist to join our team in a combined front desk role. This vital position serves as the first point of contact for patients, visitors, and callers, ensuring a welcoming and efficient experience. The successful candidate will manage a variety of administrative tasks, provide excellent customer service, and support the smooth operation of our office. This is an on-site role that requires a professional and proactive individual with a strong commitment to patient satisfaction and administrative accuracy.

Key Responsibilities

  • Greet and welcome patients and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls with efficiency and courtesy.
  • Manage patient scheduling, appointments, and confirmations.
  • Process patient registrations, update records, and verify insurance information.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain a tidy and organized reception area.
  • Assist with various administrative duties such as filing, scanning, and data entry.
  • Provide general information to patients and visitors.
  • Manage office supplies inventory and place orders as needed.
  • Coordinate with other departments to ensure seamless patient flow and operational efficiency.

Required Skills

  • Proven experience as a Receptionist, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Exceptional customer service and interpersonal skills.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate’s degree in Business Administration or a related field.
  • Experience with electronic health record (EHR) systems.
  • Bilingual proficiency (English and Spanish).
