Job Description

We are seeking a highly organized and proactive Corporate Admin Assistant to provide comprehensive administrative support to our executive team and various corporate departments. The ideal candidate will be a detail-oriented professional with excellent communication skills, capable of managing multiple priorities in a fast-paced environment. This role is crucial in ensuring the smooth and efficient operation of our corporate functions.

Key Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Organize and coordinate corporate events, meetings, and conferences, including logistics, catering, and materials.
  • Process and reconcile expense reports, invoices, and other financial documents.
  • Act as a primary point of contact for internal and external stakeholders, handling inquiries and directing calls appropriately.
  • Maintain organized filing systems, both digital and physical, ensuring data integrity and confidentiality.
  • Assist with special projects and initiatives as assigned by executives or department heads.
  • Order and maintain office supplies, ensuring adequate stock levels.

Required Skills

  • Minimum of 2 years of administrative experience, preferably in a corporate setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Ability to maintain confidentiality and exercise discretion.
  • Proactive and resourceful approach to problem-solving.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or related field.
  • Experience with financial software or enterprise resource planning (ERP) systems.
  • Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
  • Prior experience in the financial services industry.
