Job Description

We are seeking a highly motivated and organized Administrative Support Officer to join our dynamic team. This role is crucial in ensuring the smooth daily operations of various departments by providing comprehensive administrative and clerical support. The ideal candidate will be detail-oriented, possess excellent communication skills, and be proficient in office software. While this role is based in South Bend, Indiana, our administrative support team serves various functions across our system, contributing to our ‘All USA Regions’ impact by supporting a wide array of initiatives.

Key Responsibilities

  • Manage and organize calendars, schedule appointments, and coordinate meetings.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain accurate and organized filing systems, both physical and electronic.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail.
  • Assist with data entry, record keeping, and database management.
  • Order and maintain office supplies and equipment.
  • Support special projects and initiatives as assigned by management.
  • Collaborate with other team members to ensure efficient workflow.
  • Ensure compliance with company policies and procedures.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and prioritize tasks effectively.
  • High level of attention to detail and accuracy.

Preferred Qualifications

  • Associate's degree in Business Administration or a related field.
  • Previous experience in a healthcare administrative setting.
  • Experience with electronic health record (EHR) systems.
