Job Description
We are seeking an exceptionally organized, proactive, and discreet Executive Assistant to provide comprehensive support to our CEO. This pivotal role requires an individual who thrives in a fast-paced environment, possesses impeccable judgment, and can anticipate needs before they arise. You will be instrumental in ensuring the CEO’s day-to-day operations run seamlessly, enabling them to focus on strategic initiatives and leadership.
Key Responsibilities
- Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Prepare and compile executive reports, presentations, and correspondence, often dealing with highly confidential information.
- Act as a primary point of contact for internal and external stakeholders, screening communications and prioritizing inquiries.
- Coordinate and manage executive meetings, including agenda preparation, minute-taking, and follow-up on action items.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Process expense reports and manage administrative budgets for the CEO’s office.
- Assist with special projects and initiatives as assigned by the CEO.
- Facilitate effective communication between the CEO and leadership team members.
Required Skills
- Minimum of 5 years of experience supporting C-level executives, preferably a CEO.
- Exceptional organizational and time management skills, with a proven ability to multitask and prioritize effectively.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- Superior written and verbal communication skills.
- Strong interpersonal skills with the ability to build rapport with diverse stakeholders.
- Demonstrated ability to handle confidential information with discretion.
- Proactive problem-solver with strong decision-making capabilities.
Preferred Qualifications
- Bachelor’s degree in Business Administration or a related field.
- Experience in the food production, agriculture, or a high-growth industry.
- Familiarity with project management tools and CRM systems.
- Certification in administrative professional or executive assistant programs.
