Job Description

We are seeking a highly organized and detail-oriented Financial Admin Assistant to join our Wealth Management team in Santa Clara, CA. In this role, you will provide crucial administrative support to financial advisors and their clients, ensuring smooth daily operations and contributing to an exceptional client experience. The ideal candidate will have a strong interest in financial services, excellent communication skills, and a proactive approach to problem-solving. Key Responsibilities

  • Manage and maintain client files, ensuring accuracy and compliance with regulatory standards.
  • Schedule and coordinate client meetings, including preparing necessary materials and presentations.
  • Handle incoming client inquiries and direct them to the appropriate advisor or department.
  • Assist with preparing client reports, financial plans, and investment proposals.
  • Process administrative paperwork related to client accounts, such as new account openings, transfers, and distributions.
  • Support financial advisors with daily operational tasks, calendar management, and travel arrangements.
  • Liaise with internal departments (e.g., operations, compliance) to resolve client service issues.
  • Maintain confidentiality of client information and sensitive data.
  • Perform general office duties including data entry, filing, and supply management.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
