Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to support a senior executive within our Rockville, MD office. This role requires a dynamic individual capable of managing a complex calendar, handling sensitive information with utmost confidentiality, and seamlessly blending administrative and personal support tasks to ensure the executive’s efficiency and effectiveness in both professional and private capacities.
Key Responsibilities
- Manage and maintain executive's complex calendar, including scheduling appointments, meetings, and travel arrangements (domestic and international).
- Prepare and compile reports, presentations, and correspondence, often dealing with confidential and proprietary information.
- Act as a primary point of contact, screening calls, emails, and visitors, and routing inquiries appropriately.
- Coordinate and plan events, both corporate functions and personal engagements, ensuring all details are meticulously handled.
- Handle personal errands and tasks for the executive, such as booking personal appointments, managing household matters, and organizing private travel.
- Process expense reports, invoices, and other financial documentation with accuracy and timeliness.
- Maintain organized digital and physical filing systems for easy retrieval of documents.
- Anticipate needs and proactively offer solutions to enhance the executive's productivity and work-life balance.
- Assist with special projects and initiatives as assigned, requiring research, data compilation, and coordination.
Required Skills
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Exceptional organizational and time management skills with a keen eye for detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Strong problem-solving abilities and proactivity.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Bachelor's degree in Business Administration or related field.
- Experience working in a large corporate or defense industry environment.
- Familiarity with various travel booking platforms and expense management systems.
- Certification in administrative support or office management.
