Job Description

We are seeking a highly organized and self-motivated WFH Admin Coordinator with a keen interest in the tech startup landscape to join our team. This fully remote position is crucial for ensuring the smooth operation of various administrative tasks, supporting multiple projects and team members involved in our tech startup initiatives. The ideal candidate will be adept at managing schedules, coordinating communications, handling documentation, and providing essential support to keep our fast-paced environment efficient and productive. Key Responsibilities

  • Manage and coordinate calendars, scheduling meetings, appointments, and virtual events for team members and external partners.
  • Prepare and distribute communications, including emails, memos, and reports, ensuring clarity and professionalism.
  • Organize and maintain digital files and documentation, adhering to company standards and confidentiality protocols.
  • Assist with project coordination tasks, tracking deadlines, and following up on action items.
  • Facilitate virtual team meetings, including setting up technology, preparing agendas, and drafting minutes.
  • Process expense reports and manage basic budget tracking for specific projects.
  • Onboard new team members or external collaborators by providing necessary access and introductory materials.
  • Proactively identify and implement administrative process improvements to enhance efficiency.
  • Support ad-hoc administrative requests from various stakeholders within the tech startup focus area.

Required Skills

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Ability to work independently and manage multiple priorities in a remote setting
  • High level of attention to detail and accuracy
  • Experience with virtual communication and collaboration tools

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration or a related field
  • Previous administrative experience in a fast-paced environment, preferably within technology or startups
  • Familiarity with project management software (e.g., Asana, Trello, Jira)
  • Basic understanding of the tech startup ecosystem and terminology
