Job Description

We are seeking a highly organized, proactive, and discreet WFH Executive Assistant to provide comprehensive administrative and strategic support to our top management team. This fully remote role is crucial for ensuring the smooth operation and productivity of our executives, enabling them to focus on high-level decision-making and strategic initiatives. The ideal candidate will thrive in a fast-paced environment, possess exceptional communication skills, and demonstrate an impeccable ability to manage multiple priorities with a keen eye for detail.

Key Responsibilities

  • Manage complex calendars and scheduling, including coordinating internal and external meetings across different time zones.
  • Organize and coordinate extensive travel arrangements, including flights, accommodation, and ground transportation.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and prepare reports or presentations as needed by executives.
  • Act as a liaison between executives and internal/external stakeholders, managing inquiries and information flow.
  • Assist with expense reporting and budget tracking.
  • Plan and execute team events, virtual gatherings, and special projects.
  • Maintain strict confidentiality with all sensitive information.
  • Anticipate needs and proactively provide support to ensure executives are well-prepared for all engagements.

Required Skills

  • Minimum of 4 years of experience as an Executive Assistant supporting C-suite executives or senior leadership.
  • Proven ability to work independently and remotely with minimal supervision.
  • Exceptional organizational and time management skills.
  • Advanced proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) or Microsoft Office Suite.
  • Strong written and verbal communication skills, with excellent attention to detail.
  • Ability to maintain confidentiality and exercise discretion.
  • Demonstrated problem-solving skills and ability to anticipate needs.
  • High level of adaptability and flexibility to changing priorities.

Preferred Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Experience working in a fast-paced technology or e-commerce company.
  • Familiarity with project management tools (e.g., Asana, Trello).
  • Experience supporting multiple executives simultaneously.
