Job Description
We are seeking a highly organized, discreet, and proactive Private Household Assistant to manage the complex family schedule and ensure the efficient operation of a private residence in Rialto, California. This role requires exceptional organizational skills, a keen eye for detail, and the ability to anticipate needs and prioritize tasks effectively. The ideal candidate will be a trusted individual capable of handling a wide range of responsibilities, from calendar management and travel arrangements to household administration and vendor coordination. This is an on-site, full-time position requiring flexibility and dedication.
Key Responsibilities
- Manage and maintain complex family calendars, scheduling appointments, meetings, and personal engagements.
- Coordinate all aspects of domestic and international travel, including itineraries, bookings, and accommodations.
- Oversee household staff (cleaners, gardeners, nannies) schedules and responsibilities, ensuring high standards are met.
- Manage household budgets, expenses, and petty cash, processing invoices and maintaining accurate records.
- Handle correspondence, phone calls, and emails with the utmost discretion and professionalism.
- Coordinate special events, parties, and social gatherings at the residence, from planning to execution.
- Procure household supplies, groceries, and personal items as needed, ensuring timely replenishment.
- Act as a liaison with vendors, contractors, and service providers for maintenance and repairs.
- Run errands and assist with various personal requests, demonstrating flexibility and resourcefulness.
- Maintain confidentiality and exercise good judgment in all aspects of the role.
Required Skills
- Minimum of 3 years of experience as a Household Assistant, Personal Assistant, or Executive Assistant in a private or high-profile setting.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Proficiency in calendar management software (e.g., Google Calendar, Outlook Calendar).
- Strong communication skills, both written and verbal, with a professional demeanor.
- High level of discretion, integrity, and confidentiality.
- Ability to work independently and proactively anticipate needs.
- Valid driver's license and reliable transportation.
Preferred Qualifications
- Bachelor's degree in Business Administration, Hospitality Management, or a related field.
- Experience with budget management and expense tracking software.
- Familiarity with local vendors and services in the Rialto/Inland Empire area.
- First Aid and CPR certification.
