Job Description

Join our vital administrative support team as a Part-time Afternoons Google Scheduling Clerk. This on-site role is integral to the smooth operation of our department, requiring meticulous management of calendars and coordination of appointments for various staff members. The successful candidate will possess exceptional organizational skills, a keen eye for detail, and advanced proficiency in Google Workspace applications. You will be responsible for ensuring that all scheduling needs are met efficiently and accurately, contributing directly to our commitment to timely patient care and operational excellence. This position requires consistent availability during afternoon hours at our facility in a local suburb of Burlington.

Key Responsibilities

  • Manage and maintain complex schedules, appointments, and meetings using Google Calendar and other Google Workspace tools.
  • Coordinate scheduling for multiple providers, staff members, and resources, ensuring optimal utilization and minimizing conflicts.
  • Communicate schedule changes, confirmations, and reminders promptly and professionally to all relevant internal and external stakeholders.
  • Assist with general administrative tasks, including data entry, record keeping, and document preparation, as needed.
  • Provide exceptional customer service and support to patients, staff, and external partners regarding scheduling inquiries.
  • Ensure the accuracy and confidentiality of all scheduling information and patient data.
  • Proactively identify and resolve potential scheduling conflicts or issues.

Required Skills

  • Demonstrated proficiency in Google Workspace, especially Google Calendar, Gmail, Docs, and Sheets.
  • Exceptional organizational and time management abilities.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work independently with minimal supervision and collaboratively within a team environment.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's degree in Office Administration, Business, or a related field.
  • Previous experience (1-2 years) in a scheduling, administrative assistant, or clerical role, particularly within a healthcare or academic setting.
  • Familiarity with medical terminology and patient scheduling systems.
  • Proven ability to handle multiple tasks simultaneously in a fast-paced environment.
