Job Description

We are seeking a diligent and detail-oriented Compliance Admin Assistant to join our Fort Wayne team with a specific focus on regulatory support. This role is crucial in ensuring our adherence to internal policies and external regulatory requirements within the financial services industry. The successful candidate will provide comprehensive administrative support to the Compliance department, assisting with documentation, data management, report generation, and process coordination. Key Responsibilities

  • Assist the Compliance team with daily administrative tasks, including scheduling, correspondence, and meeting coordination.
  • Maintain and organize sensitive regulatory documentation, ensuring accuracy, confidentiality, and accessibility.
  • Support the preparation and submission of regulatory reports, filings, and internal compliance summaries.
  • Manage and update compliance databases and record-keeping systems with a high degree of precision.
  • Coordinate with various departments to gather necessary information for compliance reviews and audits.
  • Track regulatory deadlines and follow up on outstanding items to ensure timely completion.
  • Draft and proofread compliance-related communications, policies, and training materials.
  • Assist in the onboarding process for new compliance personnel, including system access and training.
  • Perform ad-hoc administrative duties as required to support the overall objectives of the Compliance department.

Required Skills

  • Proven administrative or secretarial experience, preferably in a regulated environment.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion and integrity.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • High school diploma or equivalent.

Preferred Qualifications

  • Associate's or Bachelor's degree in Business Administration, Finance, Legal Studies, or a related field.
  • Prior experience in financial services or a heavily regulated industry.
  • Familiarity with regulatory compliance principles (e.g., AML, KYC, data privacy).
  • Experience with document management systems and CRM software.
  • Ability to work independently and as part of a team in a fast-paced environment.
