Job Description
We are seeking a diligent and detail-oriented UPS Ward Clerk with a Healthcare Admin focus to join our dynamic team. In this crucial support role, you will be responsible for managing and organizing all incoming and outgoing UPS packages, supplies, and documentation for assigned hospital wards. This position requires strong organizational skills, meticulous attention to detail, and a commitment to maintaining accurate records and efficient supply chain operations within a fast-paced healthcare environment. The successful candidate will ensure timely delivery and dispatch, contributing significantly to the smooth administrative and operational flow of our patient care units.
Key Responsibilities
- Receive, sort, and log all incoming UPS deliveries for designated wards.
- Prepare and process outgoing UPS shipments, including packaging, labeling, and required documentation.
- Maintain accurate inventory records of supplies received and distributed.
- Coordinate with nursing staff and department managers to fulfill supply requests.
- Ensure proper storage and organization of ward supplies, adhering to hospital policies and procedures.
- Track and reconcile shipments, resolving any discrepancies with UPS or internal departments promptly.
- Assist with general administrative tasks within the ward as needed, such as filing, data entry, and communication.
- Communicate effectively and professionally with various hospital departments, staff, and external vendors.
- Adhere strictly to all hospital safety, infection control, and privacy (HIPAA) protocols.
Required Skills
- Proven organizational and time management skills, capable of managing multiple tasks efficiently.
- Excellent attention to detail and accuracy in all record-keeping and processing tasks.
- Proficiency in basic computer applications, including Microsoft Office Suite (Word, Excel) for data management.
- Strong verbal and written communication abilities for clear and concise interactions.
- Ability to lift and move packages up to 30 lbs repeatedly throughout the day.
- Ability to work independently with minimal supervision and collaboratively as part of a team in a fast-paced, high-pressure environment.
Preferred Qualifications
- Previous experience in a healthcare or hospital setting, particularly in an administrative or logistical support role.
- Familiarity with inventory management systems and supply chain processes.
- Experience with UPS shipping software or similar logistics platforms for tracking and dispatch.
- High school diploma or GED equivalent; some college coursework or vocational training is a plus.
