Job Description

We are seeking a dedicated and experienced Records Management Specialist to join our team, supporting federal agency clients in Fishers, IN. This unique role focuses on ‘Pinterest Records Management,’ which involves the comprehensive management of digital assets, visual content, and social media records, ensuring strict adherence to federal recordkeeping regulations. The successful candidate will play a critical role in developing and implementing strategies for the lifecycle management of these specialized records, from creation and capture through maintenance, access, and disposition. You will collaborate closely with agency stakeholders to establish best practices, develop compliant policies, and integrate innovative solutions for digital preservation and information governance.

Key Responsibilities

  • Develop, implement, and maintain records management policies and procedures specifically for digital and visual assets, including social media content, in compliance with federal regulations (e.g., NARA, FOIA).
  • Manage the full lifecycle of records for designated federal agency projects, from creation and active use to archiving and disposition.
  • Classify, index, and organize digital information and visual content to ensure retrievability and compliance with agency and federal standards.
  • Provide expert guidance and training to federal agency staff on best practices for managing digital records, particularly concerning content published on or related to social media platforms.
  • Conduct audits and assessments of existing records systems and practices, recommending and implementing improvements for efficiency and compliance.
  • Assist in the development and integration of digital asset management (DAM) and enterprise content management (ECM) solutions for federal clients.
  • Respond to information requests (e.g., FOIA, e-discovery) by accurately locating and retrieving relevant records.
  • Stay current with evolving federal records management regulations, technologies, and industry best practices.

Required Skills

  • Minimum of 3 years of experience in records management, information governance, or digital archiving.
  • Demonstrated knowledge of federal records management laws and regulations, including NARA (36 CFR Chapter XII), FOIA, and the Privacy Act.
  • Experience with digital asset management (DAM) or enterprise content management (ECM) systems.
  • Proficiency in data classification, indexing, and metadata management.
  • Strong analytical and problem-solving skills for complex recordkeeping challenges.
  • Excellent written and verbal communication skills, with the ability to articulate complex concepts clearly to diverse audiences.
  • Bachelor's degree in Information Science, Library Science, Public Administration, or a related field.

Preferred Qualifications

  • Certified Records Manager (CRM) or Information Governance Professional (IGP) certification.
  • Experience specifically with social media archiving, e-discovery, or managing visual content as official records.
  • Familiarity with various federal agency environments or prior consulting experience within the federal sector.
  • Master's degree in Library Science, Information Science, or a closely related discipline.
