Job Description
We are seeking a dedicated and organized Administrative Support Officer to join our team in New Port Richey, FL. This vital role provides comprehensive administrative and operational support to ensure the smooth and efficient functioning of our department. The successful candidate will be proactive, detail-oriented, and possess excellent communication and organizational skills, contributing directly to our mission of providing exceptional healthcare. This position is a critical point of contact for internal and external stakeholders and requires a professional demeanor and a commitment to service excellence.
Key Responsibilities
- Manage and maintain schedules, appointments, and travel arrangements for senior staff.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate meetings, conferences, and special events, including room setup, catering, and material preparation.
- Handle incoming and outgoing communications, including phone calls, emails, and mail, directing inquiries as appropriate.
- Maintain an organized filing system, both physical and electronic, ensuring easy retrieval of documents.
- Process invoices, expense reports, and other financial documents in a timely and accurate manner.
- Assist with special projects and initiatives as assigned, providing research and administrative support.
- Order and maintain office supplies inventory, ensuring adequate stock levels.
- Collaborate with other departments to facilitate smooth inter-departmental operations.
- Uphold strict confidentiality with sensitive information and maintain professional discretion.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Ability to prioritize tasks and work independently with minimal supervision
- High level of attention to detail and accuracy
- Problem-solving skills and a proactive approach to challenges
- Minimum of 2 years of administrative support experience
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field
- Experience in a healthcare or large corporate environment
- Familiarity with electronic health record (EHR) systems or other relevant industry software
- Ability to work effectively in a fast-paced, dynamic environment
