Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to our remote teams. This position is 100% remote within the USA and requires strong proficiency in Microsoft Teams for daily communication, collaboration, and task management. The ideal candidate will be a proactive problem-solver with excellent communication skills and the ability to manage multiple priorities effectively in a fast-paced environment. You will be instrumental in ensuring the smooth operation of administrative functions, contributing directly to the success of our remote workforce.
Key Responsibilities
- Manage and maintain executive and team schedules, including coordinating meetings, appointments, and travel arrangements (when necessary).
- Organize and facilitate virtual meetings using Microsoft Teams, including setting up meetings, managing participants, sharing content, and taking minutes.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle confidential information with discretion and professionalism.
- Support team members with various administrative tasks, ensuring efficient workflow.
- Manage and organize digital files and records within shared drives and Teams channels.
- Act as a primary point of contact for internal and external inquiries, directing them to the appropriate team members.
- Assist in project coordination and follow-up on action items.
- Order and manage office supplies for remote team members as needed.
- Facilitate onboarding logistics for new remote hires.
Required Skills
- Proven experience as an administrative assistant or in a similar role.
- Exceptional proficiency with Microsoft Teams for communication, collaboration, and meeting management.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple tasks simultaneously in a remote setting.
- High level of professionalism and attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving abilities and proactive approach.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience supporting executive-level staff in a remote environment.
- Familiarity with project management tools (e.g., Asana, Trello).
- Experience working in a large, distributed organization.
