Job Description

Join Mortenson, a leading construction firm, as a Construction Admin Assistant in Milwaukee, WI. This vital role supports our project teams directly on-site, ensuring smooth administrative operations from the ground up. The ideal candidate will possess a valid White Card (Construction Induction), demonstrate strong organizational aptitude, and adopt a proactive approach to supporting our dynamic construction environments. You will be instrumental in managing critical site documentation, coordinating schedules, and facilitating communication to keep our projects on track and on budget.

Key Responsibilities

  • Manage and organize comprehensive site documentation, including project drawings, permits, RFI's, and daily reports.
  • Assist with project scheduling, coordinating meetings, site visits, and special events.
  • Process invoices, expense reports, purchase orders, and other financial documentation in a timely and accurate manner.
  • Maintain accurate records of site personnel, equipment logs, and material deliveries.
  • Facilitate clear and effective communication between site management, subcontractors, vendors, and suppliers.
  • Ensure strict compliance with all site safety protocols and company administrative procedures.
  • Order and manage office supplies, small equipment, and other necessities for the construction site office.
  • Provide general administrative support to the project team, including data entry, filing, and correspondence.
  • Assist with onboarding new site personnel and managing access control procedures.

Required Skills

  • Valid Construction Induction White Card (or equivalent certification).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Exceptional organizational and time management skills with the ability to multitask.
  • Strong verbal and written communication abilities for various stakeholders.
  • Ability to thrive and work effectively in a fast-paced, demanding construction environment.
  • High level of attention to detail and accuracy in all record-keeping and administrative tasks.

Preferred Qualifications

  • Previous administrative or clerical experience specifically within the construction industry.
  • Familiarity with construction management software platforms (e.g., Procore, Bluebeam, CMiC).
  • Associate's degree or higher in Business Administration, Construction Management, or a related field.
  • Basic understanding of construction processes, terminology, and project lifecycle.
  • Experience with document control systems.
