Job Description
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive remote administrative support to our senior leadership team. This critical role requires exceptional time management, communication skills, and the ability to operate independently in a fast-paced virtual environment. You will be instrumental in ensuring the smooth and efficient operation of executives’ daily schedules, communications, and projects, enabling them to focus on strategic initiatives. This is a 100% remote position.
Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel (virtual and potential future in-person, as required).
- Prepare, edit, and format confidential documents, presentations, and reports.
- Act as a primary point of contact, screening and prioritizing communications (emails, calls), and responding professionally on behalf of executives when appropriate.
- Coordinate and organize virtual meetings, including preparing agendas, distributing materials, and recording minutes.
- Handle sensitive information with the utmost discretion and confidentiality.
- Assist with special projects and initiatives, conducting research and compiling data as needed.
- Process expense reports and manage administrative budgets.
- Anticipate executive needs and proactively resolve issues or provide solutions.
- Facilitate seamless communication and collaboration across various departments and external stakeholders.
Required Skills
- Minimum 5 years of experience as an Executive Assistant supporting senior leadership.
- Demonstrated proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Excellent written and verbal communication skills.
- Superior organizational and time management abilities with strong attention to detail.
- Proven ability to work independently and collaboratively in a remote setting.
- High level of professionalism, integrity, and discretion.
- Strong problem-solving skills and adaptability.
Preferred Qualifications
- Experience working in the financial services industry.
- Familiarity with project management software (e.g., Jira, Asana).
- Post-secondary education in business administration or a related field.
