Job Description

We are seeking a highly organized and detail-oriented Records Management Assistant with a focus on AI and digital data to join our team in Sunnyvale. In this role, you will play a crucial part in managing and optimizing our digital records infrastructure, ensuring data integrity, accessibility, and compliance. You will work closely with various departments to implement best practices for digital asset management, leverage AI tools for data classification and retrieval, and support the lifecycle of critical information. This position is ideal for someone passionate about information governance, digital efficiency, and the application of cutting-edge technology in data management.

Key Responsibilities

  • Assist in the organization, classification, and indexing of digital records using established and evolving taxonomies.
  • Support the implementation and maintenance of digital records management systems, including AI-driven classification tools.
  • Perform data entry, verification, and quality control on digital assets to ensure accuracy and completeness.
  • Help develop and enforce records retention schedules and disposition policies for digital information.
  • Provide training and support to employees on records management best practices and system usage.
  • Assist with data migration projects, converting physical records to digital formats.
  • Monitor and ensure compliance with internal policies, industry regulations, and legal requirements pertaining to digital records.
  • Generate reports on records management activities, system usage, and compliance metrics.
  • Collaborate with IT and legal teams to address data security, privacy, and e-discovery needs.
  • Participate in continuous improvement initiatives for records management processes and technologies.

Required Skills

  • Strong understanding of digital records management principles and best practices.
  • Proficiency in using document management systems (DMS) or enterprise content management (ECM) platforms.
  • Familiarity with data entry, data quality assurance, and information indexing.
  • Excellent organizational skills and meticulous attention to detail.
  • Proficiency in Google Workspace (Docs, Sheets, Slides) or Microsoft Office Suite.
  • Ability to work independently and as part of a collaborative team.
  • Strong written and verbal communication skills.

Preferred Qualifications

  • Bachelor's degree in Information Science, Library Science, Computer Science, or a related field.
  • Experience with AI/ML tools for data classification, search, or automation.
  • Knowledge of legal and regulatory requirements related to data retention and privacy (e.g., GDPR, CCPA).
  • Experience in a large corporate or tech environment.
  • Certification in Records Management (e.g., CRM) or Information Governance (e.g., IGP).
