Job Description

Our Vet Receptionist Trainee program offers a unique opportunity to learn the ropes of veterinary administration and customer service from the ground up. This entry-level position is perfect for individuals with no prior experience in a veterinary setting who are eager to learn, grow, and contribute to a caring environment. You’ll be the first point of contact for our clients and their beloved pets, playing a crucial role in creating a welcoming and efficient experience. Key Responsibilities

  • Warmly greet clients and their pets upon arrival, creating a friendly and welcoming atmosphere.
  • Answer incoming calls, manage inquiries, and schedule appointments efficiently.
  • Handle client registrations, update patient records, and ensure data accuracy.
  • Process payments, manage invoices, and reconcile daily transactions.
  • Maintain the reception area, ensuring it is tidy, organised, and stocked with necessary forms and information.
  • Communicate effectively with veterinary surgeons and nurses, relaying messages and client concerns.
  • Learn and apply knowledge of veterinary terminology, services, and common pet health queries.
  • Assist with general administrative tasks, including filing, photocopying, and mail management.
  • Provide compassionate support to pet owners, especially during sensitive situations.

Required Skills

  • Exceptional interpersonal and communication skills, both verbal and written.
  • A genuine passion for animals and a desire to provide excellent customer service.
  • Proficiency in basic computer skills (e.g., email, word processing).
  • Strong organisational skills and attention to detail.
  • Ability to work effectively in a fast-paced environment and manage multiple tasks.
  • A compassionate and empathetic approach to both clients and their pets.
  • A strong work ethic and willingness to learn and adapt.

Preferred Qualifications

  • Previous experience in a customer service role, even outside the veterinary industry.
  • Familiarity with office equipment and administrative procedures.
  • GCSEs (or equivalent) in English and Mathematics.
  • A demonstrable interest in veterinary medicine or animal welfare.
