Job Description
We are seeking a highly organized and detail-oriented Virtual Policy Document Controller with a strong focus on filing and records management to join our remote team. In this critical role, you will be responsible for the precise management, organization, and retrieval of policy documents and related records, ensuring accuracy, compliance, and accessibility. This is a 100% remote position, offering the flexibility to work from your home office while contributing to our national operations.
Key Responsibilities
- Manage the lifecycle of policy documents, from creation and distribution to archiving and disposal.
- Ensure accurate and timely filing of all policy-related records, both digital and physical (where applicable, through secure remote processes).
- Maintain a comprehensive and up-to-date document management system, ensuring version control and integrity.
- Respond to requests for document retrieval from internal departments, ensuring quick and efficient access to information.
- Implement and adhere to established document control procedures and company policies.
- Conduct regular audits of document archives to ensure compliance with regulatory standards and internal guidelines.
- Collaborate with various teams to ensure document requirements are met and processes are streamlined.
- Identify and implement improvements in document management and filing processes.
Required Skills
- Proven experience in document control, records management, or a similar administrative role.
- Exceptional organizational skills and a meticulous attention to detail.
- Proficiency in document management software and office productivity suites (e.g., Microsoft Office 365).
- Strong understanding of data confidentiality and security protocols.
- Excellent written and verbal communication skills.
- Ability to work independently and manage time effectively in a remote environment.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration, Information Management, or a related field.
- Experience with specific enterprise content management (ECM) systems.
- Knowledge of insurance industry terminology and regulatory requirements.
- Certification in records management or document control (e.g., CRM, CDIA+).
