Job Description
We are seeking a dedicated and organized Government Adoption Services Assistant to join our team in Thunder Bay. In this crucial office-based role, you will provide comprehensive administrative and clerical support to our adoption services department, ensuring the smooth and efficient processing of adoption files and related government liaison tasks. The ideal candidate will have strong organizational skills, attention to detail, and a compassionate approach to supporting families through the adoption journey. This is an on-site position requiring daily attendance at our Thunder Bay office.
Key Responsibilities
- Manage and organize confidential adoption case files, both physical and digital, ensuring accuracy and compliance with provincial regulations.
- Prepare and process adoption-related documentation, including applications, consents, and reports for submission to government bodies.
- Liaise with provincial government ministries, legal counsel, and other community partners regarding adoption inquiries and processes.
- Schedule and coordinate meetings, appointments, and interviews for adoption staff and prospective adoptive parents.
- Maintain databases and tracking systems for adoption cases, ensuring all information is current and accessible.
- Respond to inquiries from prospective adoptive parents, providing accurate information and directing them to appropriate resources.
- Assist in the preparation of statistical reports and presentations related to adoption services.
- Provide general administrative support to the adoption department, including data entry, correspondence, and office supply management.
Required Skills
- Minimum 1 year of administrative or clerical experience, preferably in a social services or government-related setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent organizational skills and meticulous attention to detail.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Demonstrated empathy and a client-focused approach.
Preferred Qualifications
- Post-secondary education in office administration, social work, or a related field.
- Experience with case management software or government online portals.
- Familiarity with the Ontario Child, Youth and Family Services Act.
- Knowledge of adoption processes and terminology.
