Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to join our quiet and professional acupuncture clinic in West Palm Beach. This role is ideal for someone who thrives in a peaceful, focused environment and excels at providing seamless administrative support. As the first point of contact for our patients, you will play a crucial role in ensuring their experience is positive and welcoming, while efficiently managing the day-to-day operations of the front desk and administrative tasks. This is an on-site position requiring a compassionate and discreet individual.

Key Responsibilities

  • Manage patient scheduling, appointments, and follow-ups efficiently.
  • Welcome patients warmly, ensuring a comfortable and quiet waiting area.
  • Handle incoming calls and emails with professionalism and discretion.
  • Process patient intake forms, maintain accurate electronic health records (EHR), and manage patient files.
  • Assist with billing and payment processing, verifying insurance information as needed.
  • Maintain the cleanliness and organization of the reception area and office space.
  • Order and manage office supplies, ensuring adequate stock.
  • Provide administrative support to practitioners as required, including preparing treatment rooms.
  • Ensure compliance with patient confidentiality (HIPAA) and clinic policies.
  • Assist with basic marketing tasks, such as social media updates or patient newsletters.

Required Skills

  • Minimum of 1 year of administrative or front office experience, preferably in a healthcare setting.
  • Exceptional organizational and time management abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with learning new software.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
