Job Description
We are seeking a highly organized and customer-focused Administrative Receptionist to join our team in Jurupa Valley. This combined front desk role is crucial for creating a welcoming environment for patients and visitors while providing essential administrative support. The ideal candidate will be the first point of contact, managing reception duties, patient scheduling, and various office tasks with professionalism and efficiency. This position requires excellent communication skills, a proactive attitude, and the ability to multitask in a fast-paced healthcare setting.
Key Responsibilities
- Greet and welcome patients, visitors, and staff with a friendly and professional demeanor.
- Manage incoming calls, direct them to the appropriate department or individual, and take messages accurately.
- Schedule and confirm patient appointments, ensuring efficient clinic flow.
- Maintain patient records, update demographic and insurance information, and ensure data accuracy.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist with general administrative duties such as filing, scanning, copying, and data entry.
- Manage office supplies inventory and place orders as needed.
- Maintain the cleanliness and organization of the reception area.
- Process patient registrations, co-payments, and provide receipts.
- Collaborate effectively with medical staff and other administrative personnel.
Required Skills
- High school diploma or equivalent.
- Minimum of 2 years of experience in a reception, administrative, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Exceptional interpersonal and customer service skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Preferred Qualifications
- Associate's degree or higher in a related field.
- Experience working in a healthcare or medical office environment.
- Familiarity with electronic health record (EHR) systems.
- Bilingual proficiency (especially Spanish) is a plus.
