Job Description
We are seeking a highly organized and detail-oriented Parole Board Administrative Assistant to join our dedicated team in Aurora, Illinois. This is a secure position requiring a strong commitment to confidentiality, accuracy, and adherence to strict protocols. The successful candidate will provide essential administrative support to the Parole Board, ensuring the efficient processing of critical documents, scheduling hearings, and maintaining sensitive records. This role is pivotal in supporting the Parole Board’s mission to make informed decisions regarding the release and supervision of individuals under its jurisdiction, directly contributing to public safety and justice within the state.
Key Responsibilities
- Manage and maintain highly confidential parolee files and documentation with utmost discretion.
- Schedule parole hearings, meetings, and interviews, coordinating with board members, attorneys, and other relevant parties.
- Prepare, proofread, and distribute official correspondence, reports, and legal documents related to parole decisions.
- Process and track incoming and outgoing mail, ensuring timely delivery and record-keeping.
- Act as a primary point of contact for inquiries from legal representatives, parolees' families, and other stakeholders, providing accurate information while adhering to privacy regulations.
- Maintain the integrity and organization of electronic and physical filing systems.
- Assist in the compilation of statistical data and reports as required by the Parole Board or departmental leadership.
- Coordinate travel arrangements and logistical support for Parole Board members as needed.
- Ensure compliance with all state and federal regulations, departmental policies, and ethical guidelines governing parole processes.
- Provide general administrative support, including answering phones, managing office supplies, and maintaining office equipment.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Demonstrated ability to handle highly confidential information with discretion
- Excellent attention to detail and accuracy
- Ability to work independently and as part of a team in a fast-paced environment
- Prior experience in an administrative or legal support role
- Typing speed of 50 WPM or higher
Preferred Qualifications
- Associate's degree or higher in Criminal Justice, Public Administration, Legal Studies, or a related field
- Experience working within a government agency, legal office, or correctional system
- Familiarity with state justice system protocols and terminology
- Knowledge of parole processes and regulations
