Job Description
Deloitte is seeking a highly organized, proactive, and detail-oriented Executive Team Assistant to provide comprehensive administrative support to multiple Directors within our dynamic professional services environment. This pivotal role requires an individual who can anticipate needs, manage multiple priorities, and maintain discretion and confidentiality at all times. You will be an integral part of our team, ensuring the smooth operation of daily activities and contributing to the overall success of our leadership.
Key Responsibilities
- Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Arrange domestic and international travel logistics, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
- Prepare and submit expense reports accurately and on time, ensuring compliance with company policies.
- Draft, proofread, and edit professional correspondence, presentations, and reports.
- Organize and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Serve as a primary point of contact, liaising effectively with internal teams, clients, and external stakeholders.
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents.
- Assist with special projects and initiatives as assigned by the Directors.
- Handle sensitive information with the utmost confidentiality and professionalism.
- Manage office supplies and equipment, ensuring the team has necessary resources.
Required Skills
- Minimum of 3 years of executive administrative support experience, preferably in a fast-paced corporate or professional services environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant collaboration tools.
- Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Proactive attitude and ability to anticipate needs and problem-solve independently.
- Demonstrated ability to work effectively with multiple stakeholders and manage conflicting priorities.
- Attention to detail and accuracy in all tasks.
Preferred Qualifications
- Associate's or Bachelor's degree in Business Administration or a related field.
- Experience supporting multiple executives simultaneously.
- Familiarity with CRM systems or project management software.
- Prior experience in a global organization or with international travel coordination.
