Job Description
We are seeking a highly organized, proactive, and discreet Personal Assistant to provide comprehensive support to a senior creative professional within our agency. This role is crucial for ensuring the creative lead can focus on their core responsibilities by managing administrative tasks, scheduling, project coordination, and general operational support. The ideal candidate will be a meticulous planner, an excellent communicator, and possess a keen eye for detail, thriving in a fast-paced and creative environment. You will act as the right hand to our creative talent, helping to streamline their day-to-day activities and contribute to the smooth execution of innovative projects.
Key Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
- Organize and prepare for internal and external meetings, including creating agendas and taking minutes.
- Handle correspondence, emails, and phone calls, ensuring timely and professional responses.
- Assist with project coordination, tracking deadlines, and liaising with various departments.
- Prepare presentations, reports, and other documents as required by the creative professional.
- Conduct research and compile information to support creative projects and initiatives.
- Reconcile expenses and manage basic budget tracking for the creative professional's projects.
- Maintain an organized filing system, both physical and digital.
- Anticipate needs and proactively address potential issues to ensure smooth operations.
- Handle confidential information with the utmost discretion and professionalism.
